When you upload to the Relay for Life gallery, we collect the photos or videos you submit, the name you provide, and any optional caption. We also collect your IP address to enforce upload limits (maximum 5 uploads or 250 MB per hour), and we use a session cookie to keep you signed in for up to 24 hours.
We automatically strip metadata from images (including GPS location, device model, and capture timestamp) before storing them. Video files are stored as-is โ if your video contains location or other sensitive metadata, please remove it before uploading.
Your uploads are reviewed by event volunteers before appearing in the public gallery. Approved photos and videos are displayed publicly on this site to celebrate the Relay for Life community. All submissions (including pending and declined) are visible to event administrators, and administrator actions are logged for accountability.
Approved photos and videos are visible to anyone who visits this site. Your name and caption are displayed alongside your upload. Pending and declined uploads are only visible to event administrators.
All uploaded content and administrator logs will be deleted by 30 days after the event ends. IP addresses used for rate limiting are automatically deleted within one hour of collection. Session data is deleted within 24 hours of your last activity.
To request removal of your content before the retention date, email Gurekam Dhillon at gd@gsd.sh (local gallery admin) โ they can act on it immediately. For CCS-level matters, contact chapter liaison Lexi Fitzpatrick at lexi.fitzpatrick@cancer.ca.
